MAPLE BAY YACHT CLUB
NOTICE TO MEMBERS FROM THE NOMINATING COMMITTEE
The Nominating Committee is actively looking for candidates for the following Board positions, and for the vacant Elected Positions for the Long Term Planning Committee, and the Review and Appeals Committee.
Listed below are the Bylaw requirements for vacant positions for the '26/'27 year, eligibility requirements, along with details on how to apply. An appendix gives a short synopsis of the job descriptions and duties for each vacant position. We hope that this helps anyone interested in fulfilling one of these positions.
As per the Bylaws, the vacant positions are posted on the Club notice board, will be listed in the September Spreader, uploaded onto the website, and distributed via this email. These notices have been distributed at least 90 days prior to the Annual General Meeting.
The elected positions as shown in the list below are open for nominations and subsequent election at the AGM. Please notify the Nominating Committee Chair if you are interested in nominating a candidate or filling one of these positions yourself.

A candidate for an elected position may be nominated by the Nominating Committee or as an Additional Nominee within thirty (30) days following the posting of the list of Nominees by the Nominating Committee.
All nominations, including additional nominations for elected positions, shall:

A. Include the completed nomination form signed by a proposer, a seconder (both of whom must be Voting Members in good standing), and by the nominee, confirming that the nominated Member:
- Is willing to act in the office to which they are being nominated;
- Meets the eligibility criteria outlined in the Club Bylaws; and
- Understands the duties of the position;
- B. Include a brief biography outlining the qualifications of the candidate.
Additional nominations must be delivered to the Club in accordance with the Bylaws regarding Notices and a copy of the completed nomination form and biography shall be posted on the Club notice board no more than thirty (30) days after the posting of the list of nominees which will be posted by the Nominating Committee at least sixty (60) days prior to the AGM.

To be eligible to be nominated, elected, appointed or continue to hold office in an elected position, a Member shall:

Nomination Committee Chair
COMMODORE
- Overall supervision, administration and financial control of the Club.
- Chairing of all General Meetings and meetings of the Board, chairing of the Management Committee and provision of direction to the Club Manager through that role.
- Service on the LTPC and acting as liaison between that committee and the Board.
- Oversight, guidance, and support of the Bylaws Committee.
- Inclusion as an ex-officio member of all other committees except the CRC and RAC.
- Recognition of Members who give outstanding service to the Club and/or community at large.
- Annual nomination of Members in Good Standing for Honorary appointments.
- Receiving all written complaints against a Member, Visitor, or employee and ensuring compliance with the Misconduct And Discipline process or appointing a designate to do so.
- Providing oversight, guidance and support to the Human Resources Committee.
VICE COMMODORE
- Assistance to the Commodore in the discharge of their duties and, in the absence of the Commodore, officiating in their stead.
- Acting as the official host for opening day ceremonies.
- Provision of oversight, guidance and support to the Marine Facilities Committee, and Moorage Committee.
REAR COMMODORE
- Assistance to the Commodore and Vice Commodore in the discharge of their duties and officiating in their stead.
- Provision of oversight, guidance and support to the House and Grounds Committee, Lawn and Gardens Committee and the Membership Committee.
- Maintaining charge of all Club regalia, awarding of flags to Flag Officers and delegation of the Club Emblem to the Club Manager.
FLEET CAPTAIN
- Participation in the Opening Day Sail Past by leading the sailing division.
- Organization and administration of the Club racing program generally.
- Oversight, guidance, and support of the following committees and appointees: Regattas Committee, including the option to serve as chair, the Youth Committee including the operation of the Sailing School, and the Trophy Keeper.
TREASURER
- Ensuring that the Club maintains complete and accurate financial records including books of account, necessary to comply with the Act.
- Ensuring the deposit of all Club funds in one or more savings institutions approved by the Board.
- Ensuring the timely collection of all fees, assessments or other monies owing to the Club.
- Ensuring that all disbursements of Club funds are properly authorized, approved and supported by adequate documentation.
- Liaising with and providing direction to the Club Manager with respect to financial matters.
- Presenting to the Board prior to each AGM the following reports: Annual Financial Statements, proposed operating and capital budgets for the forthcoming fiscal year, recommendations for any proposed consequential changes in fees and assessments payable by the members or any class of members.
- Presenting at each AGM, the Annual Financial Statements and accompanying reports for approval by the membership.
- Filing the Club's taxes.
- Ensuring periodic independent reviews and assessments of the Club's insurance coverage and insurance requirements.
- Oversight, guidance, and support of the Finance Committee.
FIRST DIRECTOR AT LARGE
First Director at Large core duties are assigned in consultation with the Board and include:
- Oversight and management of internal and external communications.
- Oversight, guidance, and support to the following committees and appointees: Hospitality, Historian, Yearbook Editor, Spreader Editor, and Website Administrator.
LONG TERM PLANNING COMMITTEE
This Committee works together to review, maintain and revise a strategic 5-year plan to ensure the viable future of our Club. This includes, but is not limited to: updating of the long-term capital plan, maintaining an inclusive inventory of the Club's capital assets, and making recommendations to the Board for allocation of funds for major maintenance projects and purchases, such as land, buildings etc. Further details can be found in the Policy Manual, G.2.1.0.1, G.2.1.0.2, & G.2.1.0.
REVIEWS AND APPEALS COMMITTEE (RAC)
Members of the RAC meet when required to review decisions and actions of the Board or individual Directors, and then provides a synopsis of their findings to the Board. Additional details can be found in the Policy Manual, G.2.2.2.
